Privacy policy

This policy explains what personal data we collect when you use furnituredone.co.uk, why we collect it, and what rights you have over it. We are the data controller for that information.

Who we are: Prime Sofas, trading as Furniture Done.

What we collect

  • Order and delivery details — your name, delivery and billing address, email address, phone number, and what you ordered.
  • Payment information — handled by our payment providers at checkout. We receive confirmation that a payment succeeded and a limited reference such as the card type and last four digits. We never see or store your full card number.
  • Account details — if you create a customer account, the email address you sign in with and your order history. You can also check out as a guest.
  • Postcode — entered at checkout and on our delivery page, used to work out which delivery zone you are in.
  • Messages you send us — anything you write to us by email, the contact form or the chat on our site.
  • Marketing preferences — your email address and whether you have subscribed, if you sign up for our emails.
  • Reviews — the name, initials or display name and review content you choose to submit, if you leave a product review.
  • Site usage data — cookies and similar technology record how the site is used, so pages, carts and checkout work and so we can see how the store is performing. See "Cookies" below.

Why we use it, and our lawful basis

  • To take and fulfil your order — process payment, arrange delivery, handle returns and warranty claims, and keep you updated from purchase to delivery. Lawful basis: performance of a contract with you.
  • To answer your questions — replying to emails, contact-form messages and chat. Lawful basis: our legitimate interest in responding to enquiries, or performance of a contract if you have already ordered.
  • To work out delivery costs — matching your postcode to a delivery zone. Lawful basis: performance of a contract, and our legitimate interest in quoting delivery correctly.
  • To keep the site working and secure — essential cookies, fraud and abuse prevention. Lawful basis: legitimate interests, and legal obligation where fraud checks are required.
  • To send marketing emails — only if you have opted in, and you can unsubscribe from any email. Lawful basis: consent.
  • To publish reviews — showing reviews you have chosen to submit. Lawful basis: consent.
  • To keep business and tax records — retaining order and payment records. Lawful basis: legal obligation.

Who we share it with

We do not sell your personal data. We share it only with the service providers we need to run the shop, and only for the purposes above. They act on our instructions as processors:

  • Shopify — hosts our online store, our checkout, customer accounts and order records.
  • Our payment providers — process card and express-checkout payments through Shopify's checkout, and any buy-now-pay-later provider you choose to use, who will be the controller of the data you give them directly.
  • Klaviyo — sends our marketing emails, if you have subscribed.
  • Judge.me — collects and displays product reviews.
  • Shopify Inbox — powers the chat on our site.
  • Shipping Rates & Rules (SMART) — a Shopify app that processes the postcode you enter at checkout to show the delivery options available in your zone.
  • Delivery partners and couriers — receive your name, address and phone number so they can deliver your sofa or collect a return.

We may also disclose information where the law requires it, or to establish or defend legal claims.

Some of these providers may process data outside the UK. Where that happens, the transfer is covered by UK adequacy regulations or by standard contractual clauses with the UK addendum.

Cookies

Our store uses Shopify's standard set of cookies. Some are strictly necessary — they keep your cart and your session working and make checkout secure. Others help us understand how the store is used and how our marketing performs. You can control cookies through your browser settings, and through any cookie preference controls shown on our site. Blocking essential cookies will stop parts of the site, including checkout, from working.

How long we keep it

We keep order, delivery and payment records for as long as we need them to fulfil the order, handle any return or warranty claim, and meet our tax and accounting obligations. We keep marketing contact details until you unsubscribe or ask us to delete them. We keep enquiry and chat messages for as long as we need them to deal with the enquiry and any follow-up. Customer account data is kept while your account is open.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • have inaccurate data corrected;
  • ask us to delete your data, where we no longer need it;
  • ask us to restrict how we use it, or object to us using it for our legitimate interests;
  • ask us to send your data to you or another provider in a portable format;
  • withdraw consent at any time, where we rely on it — including unsubscribing from marketing emails.

To exercise any of these, contact us using the details above. We will respond within one month.

Complaints

If you are unhappy with how we have handled your personal data, contact us at info.furnituredone@gmail.com and we will put it right. If you are still unhappy after that, you have the right to complain to the UK's data protection regulator, the Information Commissioner's Office.

Changes to this policy

If we change this policy we will update the text on this page.
